This privacy policy explains what information we collect when you visit healthtokllc.com or contact HealthTok, LLC (“HealthTok,” “we,” “us”), and how we use it. We keep it short because we collect very little.

What we collect

Information you give us. If you email us or book a call, we receive the details you provide, such as your name, email address, organization, and anything you write in your message. Bookings are handled by Cal.com, which collects the information you enter on its booking page.

Information collected automatically. Like most websites, our hosting and site software may log technical data such as IP address, browser type, pages viewed, and the date and time of your visit. We use this to keep the site secure and working properly. We do not currently use website analytics or advertising trackers.

Cookies. The site uses only the cookies needed for it to work. We do not use advertising cookies. The “Sky” button on our homepage may remember your display choice in your browser.

How we use information

We use what you send us to respond to your request, schedule and hold conversations, and follow up about our products and services, advisory work, or speaking engagements.

We do not share your information

We do not sell, rent, trade, or share your personal information with any third party for their marketing, advertising, or other purposes of their own. Your information is used only by HealthTok to communicate with you.

The only outside parties that handle your information are the service providers we need to run the site and talk with you: our web host, our email provider, Cal.com for scheduling, and Otter.ai for meeting notes (described below). They handle your information on our behalf to provide their service to us. We may also disclose information where the law requires it.

Virtual meetings and ambient note-taking

When we hold a virtual meeting with you, we may use an ambient listening tool, Otter.ai, that records and transcribes the conversation so that we can produce notes and follow up accurately.

• At the start of every call, we will tell you that the tool is in use and ask for your permission to proceed.
• You may decline, or opt out at any time during the call. We will stop the tool immediately and take notes by hand instead. Declining has no effect on our willingness to work with you.
• Once the recording has been transcribed into a written note, the audio recording is permanently deleted. We keep only the resulting notes.
• The notes are used only by HealthTok to follow up with you.

Please do not share protected health information or patient-identifying details during these meetings, or through this website, email, or booking page. Our website and meetings are not designed to receive it.

Retention and your choices

We keep correspondence and meeting notes only as long as needed for the purpose they were created. Meeting audio is deleted once transcribed, as described above. You can ask us to access, correct, or delete information you have given us by emailing us. We will respond within a reasonable time.

Our products

This policy covers this website and our meetings only. It does not cover the use of our software products, which are separate from this website. Children

This website is intended for healthcare professionals and organizations. It is not directed to children under 13, and we do not knowingly collect their information.

Changes to this privacy policy

If we change this privacy policy, we will update the date at the top of this page.
